Minutes from the Meeting:
New Officers
- We need to elect a Vice President. Brian Johnston nominates Aaron Kabrik. Stacia Morrison seconds. A unanimous approval was made from voting board members.
- Kori Weisser expressed an interest in joining the board and fill an open position until the next annual meeting. The board voted unanimously to accept Kori as a voting member until the next annual meeting.
- Stacia will post on social media and email the neighborhood regarding the open board position. The board can place volunteers in this position by a majority vote until the next annual meeting in September 2026.
- With the HOA board positions changing, the password for the email address will be changed and board members will be emailed with the new password.
- The President & the Treasurer each have a copy of the debit card associated with our bank account. Receipts for purchases are turned in to HOA services so that an accurate record can be kept & purchases assigned to a category for budgeting purposes.
Pool:
- The pool cover was installed last weekend. The pool had to be reasonable clean and full in order for installation to take place, and we will need to maintain the water level throughout the winter. Aaron can provide further details.
- The cameras at the pool have gone offline. At this point I’m not sure if it’s the wi-fi or something with the cameras. Bryan will plan to take a look on Friday.
Lake:
- The fountain timer was off a bit with a recent power outage. It was reset, but I need to keep an eye on this during the short term. We will likely turn the fountain off for November-March and get it up and running again when the weather warms up in April.
- A neighbor reported some issues with an algae bloom near the south bend of the, lake. TurnPro treated it to some degree of effectiveness, however the shallow water means that sunlight reaches the bottom of the lake and fuels some of this growth. We should see all the algae and weeds die off as the weather cools down.
Greenbelt:
- Patrick is taking care of a swing in Kensington Park that needed some hardware replaced.
- The free little library was also repaired.
- There is a broken slat on one of the picnic table bench seats in upper park. We are working to get this fixed before the Fall carnival.
- We need to get the trash can at the lake and in upper park emptied out (the one by the lake is overflowing).
- We’ve used the brush mower around the tennis court area to clean up the edges so that another contractor can give us a second quote on the court surface. Byran will get the rest of the area mowed and hopefully keep it short over the winter months, as well as trim back the overhanging trees in advance of the anticipated work done in the spring. Byran would like to have the area around the tennis court added to the contract for mowing for 2026.
- Kori was unable to secure a contractor for the skunk removal this fall. Removal may need to wait until early spring when they come out of hibernation.
Financials:
- It’s time to start the budgeting process for 2026. Bryan will write the budget again this year and have a copy ready to present at the November meeting. If edits are necessary, we will have until the December meeting to address these and give it a final vote.
- Bryan will need to have all vendor quotes before the November meeting in order to finalize the draft of the budget accurately. This includes Focal Pointe, a competitor for landscaping, the tennis court project & alternate quote etc.
- Items to consider: sidewalk project, tree trimming & removal, street lights, skunk removal, additional quote for tennis court project.
Legal: Nothing new.
Social:
- The fall carnival is being held this weekend from 3-6 PM. The board sponsored a bounce house for this event.
- The next event that the HOA will oversee will be the sleigh ride in December. This will take place before the December board meeting on December 6th or 13th, so we need to finalize details for what we need during the November board meeting.
Security:
- There is an encampment back behind the tennis court overlooking the creek. We will call OKCPD and have them trespass the individual, but they will need to be present for this to happen. Afterwards we will clean up the area.
- In the past, it was discussed putting up a fence along our property line from the storage area down to the creek. Bryan would like to get some quotes for some fencing options that will be reasonably durable to put up in that area once it’s cleaned up and maintained. We will likely need to get that area surveyed as the plats are not clear where our property line falls. Patrick will do some research with the county assessor’s office to see if we can determine the property lines that way.
