Minutes from the Meeting:
Pool:
- Still need to fix broken shower filter in men’s restroom.
Lake:
- Two Beavers have been removed from the lake so far. The traps will remain out for another 50 days or so. We need to keep an eye out for any fresh activity and report it to Redbeard Wildlife.
Greenbelt:
- Redbeard Wildlife is ready to set out skunk traps, but we need some members of the neighborhood to volunteer to check traps at least once daily. Once I can provide them with a name & phone number, they will get the traps set and let us know the precise location.
- The OU Big Event will take place on April 11th. The students will have 3 projects to help with this spring, so we will break up the students into teams. The 1st team will be painting the white retaining wall with graffiti on it that is across the brook near the large foot bridge by the pool. The 2nd team will be removing the last bit of dirt from the pool house basement and transporting it up the hill to finish filling in the hole behind the retaining wall. The 3rd and largest team will be picking up trash along the brook between 6301 Lansbrook Ln and the small foot bridge behind 6300 Chatham Rd. When the first and second teams finish their tasks, they will be able to join the 3rd team.
- The students are scheduled to arrive around 8 am and will work until noon. Volunteers from the neighborhood are encouraged to help participate and assist the students in their efforts.
- After April 11th the board will assess whether an additional Spring Cleanup Day is still needed.
- Construction of the new multi-use sport court is scheduled to begin on April 13th. Large construction equipment and trucks will be parked on the street and accessing the area through the gate at the upper park. Please do not leave your children unattended when visiting this area during construction. Please be mindful of the work being done and give the contractors the space they need to perform their work.
- The board will be voting on the final color scheme and surface design in the coming weeks. During the meeting, the feedback from the members and the residents in attendance leaned toward using US Open Green as the main color, with grey and/or sand as complementary colors, with white, black and/or grey lines to distinguish each game boundaries.
- Our board member Patrick has been coordinating with the contractor to make sure everything at the site is prepped and ready for the construction. He will be present during the construction to oversee the work, ensuring everything is built to plan.
Financials:
- See the documents that were sent to the board for reference. Bank account is at $226,250 as of 2/28. Total dues owed $83,390 as of 3/9. The 50% down payment was issued for ACS Playground Adventures
Legal:
- No new updates. The home going into foreclosure requested a payment plan. However, the owner has not complied with any previous payment plans put in place and the owner has not been employed for more than 9 months since being released from prison. The board denied the payment plan and the foreclosure will move forward to Sherrif’s Sale.
Social:
- The Easter Egg hunt is Saturday, March 28th at 10 AM. The Social committee has been leading the planning thus far, with Stacia Morrison assisting in collecting candy donations for stuffing the eggs. No additional eggs are needed, as we have more than enough saved from last year.
- The Lansbrook Rag needs to find a new printing house for future quarterly issues, as the previous printing house is no longer available to us at this time.
- A Neighborhood wide garage sale has been proposed by Cathie Snider for May 2-3rd. If you would like to participate, each residence will need to fill out its own form on the city’s website for collecting sales tax.
Formal Complaint:
- There was a formal complaint submitted to the board for discussion and response regarding the homeless encampment between the tennis courts & the Stonebrook apartments. The complaint had 3 requests which will be addressed here. Before opening this up for discussion and comments from Lansbrook residents, I want to remind everyone that the discussion needs to be civil and respectful. If discussion gets out of hand, the meeting will be adjourned.
- Provide a written explanation outlining the Board’s awareness of and response to this situation for all homeowners of Lansbrook.
- A written explanation will be posted with the meeting minutes for this month’s meeting.
- Social media is not the appropriate place to host a discussion or debate on this situation.
- Clarify policies and procedures for addressing unauthorized occupancy on HOA property moving forward.
- There are no established policies & procedures regarding this. The board has followed the same steps as they have in the past.
- Commit to transparent communication with residents, including avoiding the disabling of comments on future community-related posts unless clearly justified under established policy.
- Social media is not the place to host a discussion. Posts will be made as necessary, at the discretion of the board. Residents have options to get information at any time: they may email the board (as many have chosen to do) and they may attend the monthly meetings.
- The topic of homeless encampments has come up multiple times over the past few years, and it is an ongoing issue that we will likely deal with again. If there is an imminent safety threat at any point, we will do our best to notify the neighborhood over Facebook, and via e-mail. However, we also recognize that not all of our residents can connect with information from the board in those manners.
